Employment Opportunity: Accounts Payable Clerk
Job Description/Responsibilities:
Under general supervision of the Finance Director, the Accounts Payable Clerk performs maintenance and processing of accounts payable for payment. They are responsible for reviewing, processing and maintaining records for all vendor invoices and check requisitions. This position ensures timely and accurate payments and proper documentation in compliance with financial policies and procedures.
Key Responsibilities
- Receive, review, verify vendor and contractor invoices, check requisitions, and related documents for accuracy and compliance with applicable guidelines, including sales tax regulations.
- Assign or verify appropriate coding for all invoices and check requisitions.
- Preform calculations to confirm payment amounts and make necessary adjustments.
- Enter invoices and requisitions into the accounting system.
- Process purchase orders in accordance with established procedures.
- Match original invoices and payment requests with supporting internal documentation.
- Prepare invoices and check requisitions for payment; obtain necessary approvals and handle check printing and mailing.
- Maintain vendor files and resolve billing discrepancies.
- File documentation and keep it organized for future research and reference.
- Monitor accounts to ensure timely payments; reconcile vendor statements.
- Assist auditors by providing requested data and clarifications.
- Record office and administrative expenditures (e.g., postage).
- Complete applicable year-end federal and state reporting requirements.
- Respond to inquiries from department managers regarding payments.
- Participate in ongoing training and professional development as needed.
Minimal Qualifications Include:
Education & Experience
- Associate degree in a business-related field and one (1) year of experience in an accounting-related position, or any equivalent combination of education and experience required; Bachelor’s degree in Accounting or related field is preferred
Knowledge, Skills and Abilities
- General accounting principles (e.g., general ledger, debits/credits).
- Microsoft Office Suite (especially Excel and Word).
- Accounting software (experience with Sage MIP Fund Accounting preferred).
- Problem-solving, including calculating departmental allocations.
- Operating office equipment (e.g., computers, copiers, calculators, fax machines, telephones).
- Communicate effectively both verbally and in writing.
- Work independently and be self-directed.
- Prioritize and manage multiple tasks and deadlines.
- Perform accurate data entry and financial calculations.
- Maintain confidentiality and demonstrate ethical behavior.
- Collaborate and work effectively as part of a team.

Salary & Benefits
This position has a salary range of $47,489.21 – $67,061.10 and benefits including medical insurance and enrollment in the Virginia Retirement System.
